Privacy Policy

This Privacy Policy explains what information FieldReportHQ collects, how we use it, who we share it with, and the choices you have.
Information we collect
We collect the following, depending on how you use the service:
- Account information. Your email address and a securely hashed password, managed through our authentication provider. We never see your password in plain text.
- Payment information. When you subscribe or buy a guide, payment is processed by Stripe. Stripe handles your card details directly — we do not receive or store full card numbers. We keep records of your purchases, subscription status, and a customer reference so we can grant access and support your account.
- Your conversations with Gus. The questions you ask, the answers Gus gives, and any reports Gus generates for you are stored so you have a history and so the assistant can be helpful across sessions.
- Member memory and preferences. Details you share with Gus about your hunting and fishing — such as your state, the species you pursue, and your setup — may be saved so Gus can personalize its answers. You can view, edit, and delete this from your account.
- Usage and technical data. Basic activity and diagnostic data, including limited request logs and your IP address, which we use for security and to rate-limit features such as the free public demo.
- Location you choose to provide. If you give Gus a location — for example, to get weather or tide conditions “near you” — we use it to look up that information for your request. We do not continuously track your location.
How we use your information
- Provide, maintain, and secure the service and your account.
- Process payments, manage your membership, and grant access to what you buy.
- Generate and personalize Gus’s responses and reports.
- Improve our content, the assistant, and the overall product.
- Detect, prevent, and address abuse, fraud, and technical issues.
- Communicate with you about your account, purchases, and support requests.
AI processing
Gus is powered by a third-party AI provider (Anthropic). To generate a response, the content of your request is sent to that provider for processing. We may also use questions and answers — in a de-identified or aggregated form — to improve Gus’s general knowledge base for all members. We take steps to keep personal and location-specific details out of that shared knowledge.
Service providers we share data with
We share information only as needed to run the service, with providers who process it on our behalf:
- Supabase — authentication, database, and storage.
- Stripe — payment processing and billing.
- Anthropic — the AI that powers Gus.
- Deepgram — speech-to-text for voice input. When you use voice, the audio is sent to Deepgram to convert it to text and is then discarded, not stored.
- Vercel — application hosting and delivery.
- Kit and Resend — sending account and product emails.
- Weather and marine data providers (such as Open-Meteo and NOAA) — for conditions like weather and tides. We send location coordinates for a lookup, not your identity.
We may also disclose information if required by law, to enforce our terms, or to protect the rights, safety, and property of FieldReportHQ, our members, or the public.
Advertising measurement
To understand which of our own ads lead people to sign up, we use measurement tools from Meta (the Facebook pixel) and OpenAI (their advertising pixel and conversions API). For this measurement we share only a limited set of data — a hashed (obscured) version of your email address and basic events such as page views, registrations, and subscriptions. We do not share your Field Log, saved spots, messages to Gus, photos, or precise GPS location with these or any other advertising partners. You can limit this tracking through your device and browser privacy settings.
What we don’t do
We do not sell your personal information. Apart from the limited advertising-measurement described above, we do not share your information with third parties for their own independent advertising.
Cookies
We use cookies and similar technologies that are necessary to keep you signed in and to operate the site. We do not use them to sell your data.
Data retention
We keep your information for as long as your account is active or as needed to provide the service, comply with our legal obligations, resolve disputes, and enforce our agreements.
Your choices and rights
- Gus memory.You can review, edit, and delete the facts Gus remembers, or clear them entirely, from your account’s memory settings.
- Access, correction, and deletion. You can request a copy of your personal information, ask us to correct it, or ask us to delete your account and associated data by emailing us.
- Cancellation. You can cancel your membership at any time from your account.

Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Children
The service is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
Where we operate
FieldReportHQ is operated from the United States, and your information is processed there. If you access the service from outside the U.S., you consent to that processing.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, provide additional notice where appropriate.
